Effective communities of practice (CoPs) require needs assessments to set realistic expectations. This study developed a tool to ensure CoPs deliver on their promise by understanding member needs and guiding facilitators.
Area of Science:
- Public Health
- Knowledge Management
- Organizational Learning
Background:
- Communities of practice (CoPs) in health settings often fail to meet expectations.
- Ineffective CoPs risk wasting organizational resources and member time.
- A needs assessment is crucial for establishing effective CoPs and managing expectations.
Purpose of the Study:
- To propose and validate a needs assessment tool for initiating communities of practice.
- To analyze the needs and expectations of individuals joining health-focused CoPs.
- To develop an analysis tool to enhance future CoP effectiveness.
Main Methods:
- Conducted inception needs assessments with 246 respondents across five health CoPs (health literacy, mental health literacy, trauma-informed care).
- Analyzed qualitative data supplemented with descriptive statistics.
- Utilized results to create an analysis tool for CoP development.
Main Results:
- Initial member expectations focused on knowledge gain and networking; long-term expectations shifted to action and improved health outcomes.
- Members desired specific knowledge sharing and practical facilitator support, preferring synchronous interaction.
- Respondents initially prioritized individual benefits, showing limited immediate intention to contribute to others' learning, often adopting a wait-and-see approach.
Conclusions:
- Inception needs assessments empower members to voice needs and expectations.
- Needs assessments directly influence CoP direction and structure.
- This process supports facilitators in managing expectations and enhances member engagement.
